At this point, you’ve signed up for ERPLY and into your account. The many features of ERPLY can seem daunting at first. As such is the case, we’ve created this onboarding guide to ease the transition.   The following guide is what we cover in our initial Onboarding Training with customers. We’ve found that while you can launch with much less information in the system, you are more likely to be successful and happy with your Inventory Management System if you take some time to configure it, get used to it, and understand what you want to get out of it.  These guides and steps should help you get on the right track!

 

Before you start check to ensure your computer and software are compatible to run ERPLY

System Requirements

Chances are your computer has the proper specs to run ERPLY, but it’s worthwhile to double check. Note that these are the minimum requirements, so if you have something better, that’s perfect!

Setting up your account

Start here to configure your company profile in ERPLY.
  • Company, Locations & Registers v2014, Company, Locations & Registers v2015
    This is where addresses on locations, emails, and sales documents are pulled from. The email address here is the only valid one for cancellations/changes/passwords for users without emails. Locations are either physical locations or piles of stock you want to track. Registers can be virtual or real, and sell stock from the location they’re tied to. This guide shows you how to set up your locations and registers.
  • General Configuration v2014, General Configuration v2015
    This guide walks you through the configurations you can use to personalize and functionalize your system. Add custom footers to receipts, upload your logo, set your timezone, and sell in your style.
  • The Location Card v2014, The Location Card v2015
    This packs a lot of information into one place. You should be familiar with this area of the system for some advanced user features like price lists and quick buttons.
  • Setting up Tax Rates v2014, Setting Up Tax Rates v2015
    This guide will walk you through setting up the rates you use and how you apply them. If you have one rate, no rates, or many rates, we can help you collect and track those taxes.

Creating Users, User Groups, and Employees

Manage your employees’ access to the system and your information

Creating users is necessary for your employees to log into the POS. Each employee should be assigned a user name and login in order to properly track sales by employee, as well as other actions in the system. You can assign certain rights and limitations to a user based on the user group he/she belongs to.

    While ERPLY accounts come with some default user groups, we recommend checking out their settings and even creating your own so that you have control over who has access to your data, your sales, your inventory, and your customers. In this module you can configure access to settings and actions in the system to make sure that each job type can access what they need and only what they need.
  • Adding Employees & Creating Users v2014, Adding Employees & Creating Users v2015
    ERPLY tracks your employees in two ways: once as an ERPLY user, and once as an employee. This lets you separate the information you need on them from the information ERPLY needs to function. Set up commission rates, employee notes, and contact information on the Employee card, and setup passwords, pins, and permissions on the User card.

Inventory

See what you have, where you have it, and what you need!

This is where you can create, edit, and find your products. You may choose to either import a product list or create products manually.

  • Inventory Item vs. Product Catalog
    This quick tutorial explains the difference between an item in your inventory and a product sold by your company. Understanding this difference is key, as the following tutorials involve both.
  • Inventory Module v2014, Inventory Module v2015
    This module is where you can manage your inventory list and your stock levels. Becoming familiar with the tools in this module will help you get the most out of ERPLY’s inventory tracking features.
  • The Product Card v2014, Product Catalog & Card v2015
    Each item in your inventory list has its own product card which details all of the information you need on your items. Track the suppliers, purchases, sales, prices, and organization of your products using this screen.
  • Inventory Module Settings v2014, Inventory Module Settings v2015
    The inventory module works well out of the box, but if you want to use advanced features or categorization, you should check out the settings you can adjust here.
  • Creating Product Groups & Adding Products v2014, Creating Product Groups & Adding Products v2015
    Organizing your items into product groups can help with managing rotation of stock, physical stocktaking, price changes, promotions, and pretty much anything else you want to do with your items. Read this guide to understand how to get the most out of your product groups.
  • Import Product List: Your inventory list and stock levels can be imported through our import tool. In your inventory module, you can find this tool and its accompanying tutorial. If you subscribe, you can have an ERPLY staffer do your initial imports (Customers, Suppliers, and Inventory) for you!

Customers

Customer tracking leads to having the data you need to make your customers happier and your interactions more profitable.

If you want to track customers, customer spending, or set up a loyalty program, it is best to import your customer list or manually enter all of your customers. Subscribed accounts can have their initial customer list imported by our lovely support staff.

  • Creating Customers v2014, Customer Groups v2014 // Customer & Customer Groups v2015
    Customer groups are used to track specific groups of customers (wholesale, retail, VIP, teams, employees, family members, or any grouping you’d like!) and can be used to implement discounts or special pricing, as well as for tracking sales by group.
  • Loyalty Programs v2014, Promotions & Rewards Points v2015
    Loyalty programs are a great way to retain customers and encourage more interaction and repeat visits. ERPLY’s loyalty program is point-based, and can be set up to include a customer loyalty card for easy sales tracking and application of special prices, discounts, and offers.

Point of Sale

  • Open/Close Day v2014 // Open Day v2015, Close Day v2015
    Starting and ending the day gives you a better idea of how the cash is being handled at your business. If your drawer is always over or short, you may want to revisit your cash handling procedures.
  • Locked Out v2014, Locked Out v2015
    If an employee tries to log in with the wrong password more than 3 times, the system will block them for 15 minutes, and will add 15 minutes on every incorrect attempt thereafter. You can log in as an administrator to unblock these users.
  • Clock In/Out v2014, Clock In/Out v2015
    ERPLY has a timeclock feature, which allows it to track when your employees come in and when they leave. You can run reports to help you process your payroll and compare employee schedules with your hourly sales to see if your schedule is working efficiently.
  • Sales Options & Functions v2014, Sales Options v2015 / Sales Functions v2015
    There are a number of actions which can be taken at the POS. Take a look at these to see the more complex things ERPLY can do.
  • Enabling Credit Card Type Selection & Authorization v2015
    This setting allows you to select the card type when using an external payment device and enable authorization codes in ERPLY. After setting up this option, a new window will appear, prompting you to select a card type and input the authorization code.
  • Z Report v2014, Z Report v2015
    The X report at the register, or the Z report from the back office, provides data about what you’ve sold from day open to day close, what tender types you have taken, and what totals you’d expect to see in the drawer at the end of the day. This report functions as a snapshot of your day.

ERPLY has two current POS systems: BerlinPOS and WinPOS.

We recommend starting with BerlinPOS, which is closely mirrored in our iPad app. Below are guides to get you started at the Point of Sale. Our recommended browsers are Chrome or Firefox. Internet Explorer will not work.

Guide in BerlinPOS View

This is a walkthrough on the BerlinPOS interface. You can access the Point of Sale via app.erply.com/live/or our iPad Application. Here you can learn the basics of processing daily sales and the details of button functionality. While our POS is compatible with touch screens, a touch screen device is not necessary for use; full functionality is still available when using a mouse and keyboard. Review our System Requirements to see if your computer is compatible.
