Inventory: Main Module Page

 

Illustration: Inventory Module Filters. Use these filters to narrow down the listed items to only the ones you’re looking for. These allow you to use this module to investigate and edit your inventory and stock.

Filters – Use filters to narrow down the list to just the items you’re interested in.

Product code: for searching for a specific product, or groups of products with similar codes
Name:
search for product(s) by name
Product Group:
Show products from specified product group
Location In Warehouse:
premium feature, shows only items in a particular location in warehouse
Tax Rate:
if tax rate is set on products, you can see products by set tax rate, or tax free
Category:
see items in particular Category
Brand:
narrow results by brand
Supplier:
see only items from specified supplier
Only Non-Stock Products:  
Lists only products/services specified as ‘non stock products’
Status:
Shows items based on their active/archived or otherwise status.
Show also Matrix Variations:
if you’d like your search to show Matrix variations under the Parent Matrix product.

Show Only Web shop Products: Shows products where the ‘show in webshop’ check box is selected on the product card
Location (Multi-select): 
To select all locations, leave blank. To select more than one location hold down ctrl, then click on all the locations for which you’d like to show inventory levels.

Results per Page (default: 20)

This is the active pane in the inventory module, and lists inventory which falls within the criteria specified by the filter screen. Specific activities are accessed by clicking on the links within the tables. See the notes on the column for more information.

Columns:
Select box: Use this to compile lists of items for making purchase orders, or barcodes from either Actual Reports, or the older label printer. Clicking the checkbox in the header row will select all of the boxes listed below.
Illustration: This select box is a persistent one, you may switch to other pages of inventory items and they will remain selected until ‘clear selected’ is used.

Item type indicator : if an item is a Matrix product there will be an M+ in this column, bundle products are indicated with a B
Clicking on the M+ will show the variations, just like the ‘Show also matrix variations’ checkbox in the filter panel.

Code:
user entered product code. Can be generated automatically, To set this see settings → Configuration. ‘Child’ Matrix products are assigned codes based on the ‘parent’ product and by settings during Matrix product generation.
UPC Code:
user entered on product card. Can be generated automatically based on settings in Settings → Configuration.
Name :
Name of the product. This is what shows on receipts, and is searchable at POS
Net Price:
The price of the item prior to having taxes applied to it.
Net + tax:
The price of the item with the item’s specified tax rate applied to it. This item may ring up with different tax on it if the register has a tax rate applied to is, as the register tax rate is the definitive rate.
Report:
This pops up the ‘Warehouse Report’ for the selected item. Please see our section on that report for more information on the ‘Warehouse Report’
Location in Warehouse:
This is a premium feature and must be requested to be enabled by ERPLY staff. This is to indicate bins in the warehouse and assist with order picking and product locating.
Copy:
Copy this product information to create a new one just like it. Pops up a new product card, and generates new Code/UPC code for new product if configured to do so.
Total stock:
#In Stock (# in Layaway) across all locations
Stock in Location:
how many of these items are in this location.
Open Product Card:
This icon opens the product card
Delete (not always available):
Items that have not been used in any transaction may be deleted. Once an item has had stock registered to it or any transactions made with it may not be deleted, and there will be no X in this column to effect deletion. ERPLY cannot restore deleted items.

New: This creates a new product and product card.
Make a purchase order for selected items:
Use the first column of the activity pane to select products, then click this button to create a purchase order that contains these items. You will still need to edit and confirm these purchase orders. If the products have suppliers indicated on their product card, the items will be sorted to purchase orders by suppliers for you.
Barcode Labels: This is a legacy tool and has served us in good stead. To use it, select the items that you’d like to create labels for and follow the directions in the tool. For more help, please consult our guide on label printing.
New Label Designer:
This is also called ‘Actual Reports’ and allows you to design and print labels. Please see the tutorial on this in its own section.
Import from CSV/TXT file:
This tool is used to import new inventory, or update the information on or stock quantities of extant inventory.
Print View:
Use this to print out, or copy to excel, the results of your inventory search, as narrowed by your filter selections. This transforms the inventory module into a reporting module as well, and allows you to build custom sets of items to see details about. You can also customize what columns show on the printed report.
Filter:
This toggles whether or not the filters show. Put the up to see more results on the screen, put them down to configure your results.
